Project Administrator
(Austin Office)

We are looking for a smart, fun, and collaborative Project Administrator with an eye for the details. It’d be cool if you had a sense of humor, too.

Desired Qualifications:

  • Associate’s Degree Required, Bachelor of Business Administration, Accounting, Finance; or related preferred
  • 3 yrs. of A/E industry experience at small to mid-size private-practice A/E firm;
  • Proficiency with Deltek Vision software;
  • Ability to multi-task with excellent organizational skills;
  • Well developed verbal and written communications skills;
  • Well-developed interpersonal skills;
  • Knowledge of basic accounting principles;
  • Knowledge of basic contract language;
  • Well-developed software skills with Microsoft Office suite;
  • Basic knowledge of A/E industry business standards and procedures;
  • Understanding of A/E industry and Planning and Landscape Architecture terminology;
  • Desire to grow personally and professionally

Brief Description of Duties:

Administrative

  • Reception, greet clients, answer phones
  • Manage telephone system and interface with IT support;
  • Assist Business Manager and/or Administrative Manager as needed;
  • Delegate tasks to Administrative Assistant (if applicable)
  • Attend staff meetings
  • Additional tasks as assigned

Financial

  • Follow established accounting practices and standards
  • Create Accounts Payable entries and oversees weekly payables;
  • Manages sub consultant weekly payables;
  • Process all Cash receipts for office
  • Pull backup for Invoices, email and electronic filing
  • Maintain Credit Card accounts, statements, process expense data entry, collect receipts
  • Process invoices in Vision, maintain Vision notes for email preferences, special conditions, etc.
  • Assist with Accounts Receivable collections, provide information, update A/R comments in Vision, provide invoice copies and Statements as needed
  • Additional tasks as assigned

Project

  • Using Deltek Vision to manage client and project set-up and billing system updates.
  • Assist with preparation of proposals, contracts, agreements, and amendments;
  • Contract and Proposal Review and coordination with Legal department and process updates in Vision
  • Create Opportunities and Proposal projects in Vision
  • Project and Billing terms set up in Vision
  • Additional tasks as assigned
